Planning your Event

Everything you need to know about planning an event in our yurts and stretch tents

Optimizing Space with Yurts and Stretch Tents

If you have more than 85 people, renting a stretch tent for your service & bar area will allow you to maximize the yurt for guest seating. Using another yurt or a combination of yurts and stretch tents can accommodate up to 180 people.

When you utilize yurts and stretch tents together, it encourages socializing, relaxation, and celebration. A dynamic sheltered environment for your guests. The Palace Yurt serves as a central gathering point, providing an elegant and warm space for dancing in the evening. It's like the heart of the event, drawing people in with its unique design and atmosphere.

The stretch tent complements this by extending the sheltered area, creating additional spaces for guests to explore and enjoy allowing for indoor-outdoor mingling and space for service tables, bar and a lounge.

    • Invite guests into the larger yurt for speeches after dinner

    • Arrange the head table nearest the main entrance

    • Zip back the facing canvas walls

    • Position the yurts and stretch tents with the main doors together creating a courtyard

    • Palace Yurt & Small Stretch Tent
up to 100 people with service tables in small stretch tent

    • Palace & Champagne Yurts with Small Stretch Tent
up to 120 people with service tables in a small stretch tent

    • Palace & Lotus yurts with Small Stretch Tent
up to 140 people with service tables in a small stretch tent

    • Large Stretch Tent with any large Yurt(s)
Over 150 with service tables, dancing and bar

If applying for a liquor license at a commercial venue, capacity will be reduced compared to our seating plans.

Set Up and Take Down

The Palace Yurt takes 10 hours to set up, and the Lotus & Champagne Yurts takes between 6-7 hours to set up. The small stretch tents take 3 hrs, medium stretch tents takes 6 hrs and almost double for the large stretch tents. For a typical Saturday wedding, the minimum two-day rental allows us to set up the shelters on Wednesday and Thursday. This would give you all day Friday to set up tables, decorations, etc. The yurt must be empty by 10 am on Sunday for us to take it down. It would be an $225 per extra rental day thereafter.

  • Our large yurts need to be erected on flat and even ground. Ensure that your chosen area is not more than 1 foot off from level over the entire diameter.

To ensure that the Palace Yurt will fit in your chosen space, measure a rope to 18ft (16ft for the Lotus & 15ft for the Champagne Yurt) and place a peg in the middle of where you want the yurt to be. Follow the rope around in a circle to make sure the ground is flat and even. If you wish to set up two large yurts together, the two diameters need to be side by side in your chosen location.

The Palace Yurt is 22ft high in the centre and 6.5 t high at the walls. The Lotus & Champagne Yurt is 13ft high in the centre and 6.5ft high at the walls. The Palace, Lotus & Champagne yurts have two doorways opposite eachother and are 7 ft high by 4 ft wide.

Please note: We must be able to have direct access to your chosen spot. If we are not able to unload within 50 feet, extra charges for set up will apply.

  • Our stretch tents require 10ft from the perimeter of the tent for the guy ropes and fastenings and in most cases pegging 1 meter into the ground. The stretch tents are best set up on grass. If we have to set up on concrete or attach to a wooden building there is an extra charge for fittings and extra labour. ($20 per fitting and up to 10 fittings may be required) Please note we cannot attach to ash-felt or tarmac.

We can attach to trees or wooden buildings as long as the owner is happy with 6" lag bolts put into the walls. These can be connected at the facia board going into the rafters or into the sheathing going into a stud. We cannot attach to concrete sided buildings.

When connected to a building it still needs an extra 10ft around the tent on the other three sides.

  • Our yurts can be set up on grass or on hard surfaces. On grass or softer ground, we use 18” pegs which tie to a rope that is flush to the yurt walls. We can set the yurt up on a gravel pad or other hard surfaces, however we will need to bring concrete blocks to tie too. There is an extra charge of $120 to secure the yurt to the blocks.

Your “private event” must be for invited guests only for family and friends.

You don’t need a license to serve alcohol to your guests in your home.

Obtaining a liquor license can take up to 10 business days. Plan to submit your application at least two weeks before the event. You need the license number when buying the alcohol for the event.

  • Our lighting package for the palace yurt includes four Moroccan lanterns (two Moroccan lanterns for the lotus & champagne yurts) and perimeter mini lights. The lanterns are stain glass and hang from the central wheel, whilst the perimeter mini lights wrap around the circumference of the yurt. Both the lanterns and mini lamps provide beautiful evening lighting in the yurt.

Please note we do not provide extension cords for lighting requirements. The lanterns and perimeter lights will need a grounded triple ended extension cord.

  • The lighting package for the stretch tents includes hand punched metal lanterns with amber and blue glass and LED perimeter Edison bulbs. Two lanterns for the small stretch tent, four lanterns for the medium stretch tent and six lanterns for the large stretch tent.

Please note we do not provide extension cords for lighting. One grounded extension cord with three outlets will be required.

  • Enhance your yurt experience with our soft and durable flooring, perfect for events on grass. This flooring is essential for creating a dry and comfortable space, reducing humidity, and eliminating damp odors after rain. It levels uneven ground, providing an elegant touch to your yurt setup.

The flooring is mandatory if set up on grass. This is due to the humidity generated by grass transpiration. In a walled tent, this moisture not only leads to a damp feeling inside the yurt but can also cause mold problems. It is not required if set up on wood, concrete, ash felt, or gravel.

Please note we do not rent dance floors.

If you chose to rent a dance floor, check with the rental company whether it can go directly on the ground. In our experience the wood on metal frame type works much better on uneven surfaces compared to flooring tiles (hardened plastic interlocking portable flooring tiles.) Many of our clients rent our soft flooring and then rent a dance floor to go on top.

*If you rent flooring tiles, make sure to check with the rental company if plywood should be installed underneath.

Here's a list of rental companies who offer dance floors:

    Maritime Tents 902-679-6545 (Berwick, NS)

    Macfarland's 902 453-0110 (Halifax, NS)

Final Touch Party Rentals 902 921-0580 (Stellarton, NS)

Special Occasions 902 863-2885 (Antigonish, NS)

  • The flooring for the stretch tent is called DandyDura® which is a market leading woven polypropylene matting used extensively in the tent rental industry. It is  extremely durable, lightweight and weatherproof as well as being very aesthetically pleasing for all sorts of events.

It greatly improves the aesthetic quality of the tent adding a natural boho feel and most importantly reduces humidity. It levels uneven ground, providing an elegant touch to your tent setup.

Similar to our flooring in the yurts, it is great for dancing on! Some clients choose to rent a wooden dance floor which can be placed directly on top of the soft flooring. We do not rent dance floors.

  • Our yurt decoration package includes a collection of stunning red and blue felted wall hangings, door decoration and wheel decoration. They were created exclusively for our rental yurts by a women's handicraft cooperative in Kyrgyzstan, with whom we've had the pleasure of working with on our journey there in 2010.

When connected to a building it still need an extra 10ft around the tent on the other three sides.

If wet weather is forecasted, it is advisable to place your chairs 5ft in from the perimeter of the canopy to avoid splashing.

We will consider doing winter events however there will be an extra charge due to labour taking longer in colder weather conditions and the extra time needed to dry out the coverings.

  • The two front canvas walls of the Palace, Lotus & Champagne Yurts can be zipped off which provides enhanced ventilation and viewing. The simple zipper design is easy to use so you can open and close the wall after we have gone. We request that you zip up the walls after your activities to ensure that potential high winds do not enter the yurt. A Little Foot Yurt team member will show you how to open and close the walls. Please do this with a friend to avoid dragging the canvas on the ground.

  • If you are planning a spring or late summer wedding, you should consider renting a heater to keep your guests warm. The most appropriate and safest heater for our yurts is a CSA approved propane forced air heater (ducted heat). We recommend the smallest of the forced air heaters, such as the Premier 80 which is 80,000 BTU. This heater can be placed at the back door with our flap door down.

During the winter months the largest yurt we will rent out is our Champagne yurt which is 28ft in diameter and 615 sq ft. We have a forced air heater which can be rented for the Lotus or Champagne yurt.

We will consider doing winter events however there will be an extra charge due to labour taking longer in colder weather conditions and the extra time needed to dry out the coverings.

For the stretch tents you can rent a gas flame outdoor patio heater (ensuring that there is a clearance from top of heater to underside of tent fabric of 1.5-2 meters.)

Our yurts perform very well in hot weather. The cotton canvas which we use for the coverings is breathable and provides an airy feel in the yurt. The two front canvas walls can be zipped back for enhanced air flow and viewing.

  • Yurts are designed to withstand harsh weather due to their structural integrity. Their rounded shape allows wind to flow smoothly around them, reducing wind resistance. Additionally, the tension created by the wooden lattice walls and the strong fabric coverings contributes to their resilience against adverse weather conditions.

Yurts have a self supporting frame and are anchored to the group by 12 points with large steel pegs. These pegs are removed without a trace. The circular shape of the yurt makes them strong in high winds and bad weather. The yurts don't usually damage the grass. Sometimes, if there is heavy dancing, the grass can get trampled, but the grass grows back just fine.

Bugs seem to stay away from the yurt as it is white. Also, renting our flooring really helps keeps the moisture down which helps to keep the bugs at bay!

We will consider doing winter events however there will be an extra charge due to labour taking longer in colder weather conditions and the extra time needed to dry out the coverings.

  • Stretch tents perform excellent in bad weather because of the well secured fabric which offers resilience and stability against wind and rain. The material is made from a specialized fabric system called AWAT which stand for Anti Water Absorption Technology. Two membranes fend off rain, dirt and UV rays. Stretch tent are 100% waterproof & water repellent using specialized guttering systems to channel the water away from the tent.

Stretch tents do not have side walls. If prevailing winds with rain are expected we can put one to two sides down close to the ground. Most of the time the stretch tent is put up as a floating canopy and provides excellent protection from rain.

We will consider doing winter events however there will be an extra charge due to labour taking longer in colder weather conditions and the extra time needed to dry out the coverings.
